Description

Some attendees will have to request a visa to enter Schengen. We need to provide them with infos and an invitation letter to the conference.

We need to provide this before March 30th. Quoting the FAQ:

You may therefore submit a visa application 3 months before your planned date of departure for France.

I've got the model invitation letter used by organizers of DebConf13.

Information we should write in the invitation letter to the best of my understanding:

  • date of the meeting;
  • full name, passport number and expiration date of the attendee;
  • purpose of the meeting;
  • what is the Tor Project, Inc.;
  • where will the conference be held (extra information about lodging is probably a plus);
  • contact information of the organizers.

According to the embassy of France in India, the document list also mentions:

  1. Supporting documents of the organisation’s income:
  • copy of bank statements of the last three months
  • copy of Income Tax Department Return + ITR-V acknowledgement of the previous financial year
  • copy of company registration certificate (Form B, Certificate of Registration, rule 5(1), or Form ST3, rule 11, certificate of registration)
  • copy of the Memorandum and Articles of Association of the company (Companies Act, 1956).

Another list mention 6 months of bank statement.

For the record, we cannot send the letter. Our French host has to send the letters. And really, this isn't something that should be a ticket given the personal nature of the information.

We've done plenty of these for past conferences. As an officer, I need to sign the letters, embassies have rejected prior letters without my signature.

I don't understand. When applying for visa for business or academic meetings, the requester has to present an invitation letter as part of their application. Invitation letters should be provided to the people invited for the meeting.

And really, this isn't something that should be a ticket given the personal nature of the information.

I don't understand. Are you saying that we should not track that we have given invitation letters to the people who needed them? That does not imply listing names, just making sure that we do our part for the people we invite who need to get visas.

We've done plenty of these for past conferences.

We're not a French organization. We can't officially invite someone to France. Therefore, the actual French organization doing the hosting has to provide the letter. I can work with them, but ultimately, the letter has to be on their letterhead and signed by an officer of their corporation.

We track it internally in the employee or contractor files.
